Key responsibilities 1/ General View • Be a focal point between the Director and factory, Director and customers, and all internal departments within the company, • Assist Director in daily function, working plan, management time, arrange travels, conducting local and over sea customers, booking hotels, applying for visa and others, • Develop & maintain relationship with customers; solve questions, complaints and requests from customers in order to make satisfy, • Support Director for analyzing production status of each department then detecting errors in the production process for timely edit, • Work closely with the factory to follow the production process from receiving orders to delivering goods, • Coordinate with Compliance team during audit by Customers or third party, • Be responsible for activity of improvement at factory such as ISO 9001:2008, fire protection, labor safety, environmental sanitation, and food safety. 2/ Order Handling a. Development stage • Follow up all new orders from the customers; communicate with sample team to make nice design to meet customer’s expectation. • Source suitable material and accessories with lower price and make sure quality are met buyers expectation if needed. • Monitor & follow up sample making and send it to the customer. b. Production stage Before load into production • Receive the orders and the standard technical sheet from the customer (only processing contract) and inform them to both the Director and the factory, • Discuss with the factory to give best price and the ship date to the Director and the customer, • Prepare processing and commercial contracts, • Monitor the production plan and progress up the table for each procedure of each item correctly and timely notice to all departments to start production, • Coordinate with Warehouse to ensure material is delivered in right quality and timely as well as update timely any delaying to Customer under any unexpected issues. Load into production • Follow up and report production status to Director and take action immediately if any risky would be impacted to order delivery on time, • Daily update material status in warehouse to ensure no any shipment issue due to shortage material and meet target inventory, • Support all departments (cutting, sewing, warehouse, inspection, and packing team) for getting information, guidance, direction from the Director or customers, • Do monthly reports related to productivity, cost of rework, defects, and human mistake. c. Preparing shipment • Set up weekly delivery plan and communicate to all related department, • Work together with QA team for arranging final inspection schedule, • Provide Trading team all needed documents or information to open custom declaration, • Work with customer on shipping guide and communicate to Trading team for arrange shipping document. d. After shipment • Follow up together with Trading team on sending shipping documents • Follow up with Accountant team for payment. • Follow up with customer if there is any claim on delivered goods.
